Getting to Santa Fe is a bit challenging. There don’t seem to be a lot of direct flights. What are your recommendations?

Traveling into Albuquerque which has more arivals than Santa Fe may make more sense for you. Depending on the number of people arriving in Albuquerque and the timing of those arrivals, we may organize group transport from Albuquerque to Santa Fe. If there are only a few people arriving in Albuquerque, we will still be here to assist you in making arrangements to get to Santa Fe.

Should I still come if my flight is delayed or cancelled?

Unfortunately, travel delays are inevitable, and more and more common these days. We are SO sorry if you experience any travel delays or cancellations. If the airline is able to get you on another flight/alternative transportation that will get you to Santa Fe before noon on Wednesday, please join us! If you are delayed until late in the day on Wednesday, you may want to consider forgoing the trip.

What should I pack/wear during Tidal Wave?

At the end of September, Santa Fe has highs in the 70s and lows in the 50s. Some describe the temperature as mildly cool with a gentle breeze. There is little to no humidity. It is recommended to pack options, including layers as the nights may get cool. Although we will have a group dinner, nothing more than casual clothes are required…dress however makes you feel best!

What should I do when I arrive in New Mexico?

If you are flying in to ABQ, utilize ride share services or head to the taxi stand to get to La Fonda On the Plaza.

If you are flying in to SAF, group transportation has been coordinated through our partner RMC. Look for the RMC staff person with the Tidal Wave sign; they will direct you to your ride.

What can I expect when I arrive at the host hotel?

If you arrive before the official check in time of 3pm, your room may not be ready. We have provided the hotel with a list of early arrivals, and they will accommodate as many as possible.

When you check in to the hotel, you will need to provide a photo ID and credit card for incidentals.

How will we communicate with each other during the trip?

Add contact info of other travelers to your phone in advance, and call or text with any questions. A complete list of all attendees and cell phone numbers can be found on the last page of the KBYG doc.

We also recommend that you download the Microsoft Teams app to your phone in advance of the trip. A Tidal Wave Trip team will be created prior to the trip in an effort to easily connect the entire group. You may choose to turn on alerts so you are notified when messages are sent, or check throughout the trip as needed.

Outside of the group activities, we recommend that you avoid traveling or walking alone. Santa Fe is a safe city, but you can never be too careful. Stay alert and be aware of your surroundings at all times. If you are out with a smaller subset of the large group, please notify others in your group if you decide to break off or head back to the hotel before everyone else.

What about expenses related to the trip?

Expenses for the trip, including roundtrip transportation to the airport or airport parking (discount lots preferred), checked baggage fees, and one meal per day of travel (limited at $30), may be expensed through Concur.

Expenses that will not be reimbursed include upgraded seat fees, as well as food and beverage costs incurred in lieu of attending Zywave hosted events.

Be sure to keep a receipt for all expenses that you wish to be reimbursed. Receipts will be required as part of the expense report submittal in Concur for reimbursement within 30 days of incurring the charge.

How much spending money do I need to bring?

This is really up to how many gifts you plant to bring home, or how many things/activities you will want to treat yourself to while on the trip outside of the Zywave-coordinated activities.

For the Choose Your Own Adventure day, will lunch be provided?

Yes! The Rio Grande River Float includes a traditional pueblo feast, and the Santa Fe Cultural Experience group will be eating at Tortilla Flats.

Is the Rio Grande river float actually a float? How physical of an activity will this be?

Attendees should be assured that the activity is among one of the most popular cultural experiences for all ages and activity levels. It truly is just a float in a raft where attendees do not need to row, and no rapids are involved.  Although the Rio Grande river is known for its white water rafting during certain times of the year, this particular time of year/section of the river will be very calm waters. The activity is not strenuous at all, requires no physical activity (the tour guides do the rowing and interpretive history of the pueblos), and is certainly suitable for anyone to participate. You will need to wear a life jacket. You should not get wet. Please dress comfortably for this adventure. What is the best way to get around Santa Fe during our free time?

The La Fonda On the Plaza is in a very central location, and Santa Fe is a very walkable city, so we encourage you to explore on foot.

If your explorations require you to drive, be aware that Santa Fe has very limited Uber/Lyft drivers, so you may need to utilize the Santa Fe Trails bus service or call Capital City Cab (505-438-0000) for a taxi.

What happens if I get sick or hurt on the trip?

If you utilize UHC insurance through Zywave, emergency room services (such as a broken bone) will be covered after a copay, regardless of being in or out of network. If you don’t require emergency care and decide to seek out care at an urgent care facility, a copay applies for in-network facilities and coinsurance applies after you reach your deductible for out-of-network facilities. If your insurance is through another provider, please check directly with them to confirm coverage.

Do I need to request PTO for the trip?

No, participants do not need to submit PTO for September 27 – 29.
